At the Society we want to provide the best possible support to all of our members and to achieve this, we sometimes need to collect and utilise your personal information.
It is essential to us that you are confident that your personal information is treated with the appropriate degree of privacy.
About this Privacy Statement
This Privacy Statement applies to all of your interactions with the Society. This includes any of your interactions with the Society including the internet website, membership renewals, sales nominations etc.
The following Privacy Statement is intended to provide you with a detailed explanation of how and when we collect your personal information, how it is stored and distributed within the Society.
Who is the Society?
The Society has a number of associated entities. They are:-

What does "personal information" mean?
Personal information is any information about you that identifies you or by which your identity can be reasonably determined.
Why we collect your personal information
Collecting your personal information is essential for the Society to be able to fulfill it's objects and to provide services for it's members.
By collecting personal information we:-
- set up and maintain important records and registers relating to both members and their stock;
- anticipate members needs and other services that can be provided;
- circulate to members information to assist them with their stock or their businesses; and
- identify members and their stock so as to enable their personal information to be protected.
If we do not collect and make use of your personal information then it would be impossible for the Society to fulfill it's objects.
How do we collect your personal information?
We only collect personal information directly from you.
Every time you complete a Society form, correspond with us, or contact us by telephone we may collect personal information.
In most cases we will require you to specifically consent to any collection, use or disclosure of your personal information by the Society. Your consent will usually be required in writing but we may accept your verbal consent.
However the personal information is collected, it will always be dealt with by the Society in accordance with this privacy policy.
What personal information is collected?
The nature of personal information collected and maintained by the Society generally comprises name, address, age group, membership numbers, personal contact details (including phone fax and email addresses). Providing incomplete or incorrect information may mean that we are unable to meet the objects of the Society and provide members with the level of service that they require.
We do not collect or store information about anyone's political or religious beliefs, ethnic background or sexual preferences.
How we use your personal information
We use the personal information that we collect so that we can fulfill the objects of the Society and provide services to members.
To enable us to do this we may share your personal information with our related entities, as detailed at the beginning of this Privacy Policy.
Marketing
From time to time we may use your personal information to provide you with advertising material from third parties.
The Society obtains a financial benefit by using your personal information in this way, however your personal information is not released as part of the process.
Instead, the Society aims to indirectly use your personal information by, for example, offering to insert the advertising material into publications sent out by the Society.
Do we disclose your personal information to anyone else?
The Society may disclose your personal information to others in certain circumstances.
Sometimes we are required or authorised by law to disclose your personal information. For example we may disclose your personal information to a Court in response to a subpoena or to the Australian Taxation Office following a direction issued under taxation laws.
We may also disclose your personal information where you have consented to us doing so. Your consent to the disclosure of your personal information may be given explicitly such as in writing or verbally or may be implied from your conduct such as when you discuss details of the relationship you have with us publicly with the media.

We will do our best to keep your personal information accurate, complete and up to date. You can help us with this by advising us if you believe that any of the information we hold is incomplete or inaccurate.
Is my personal information secure?
The protection of your personal information is a priority for the Society.
This is why we take all reasonable precautions to safeguard your personal information from loss, misuse, unauthorised access, modification or disclosure.
Can I access the personal information the Society holds about me?
You may request access to any of the personal information we hold about you.
In most cases, a summary of personal information such as your name and address details, contact telephone numbers, stock records and account status is available to you by calling us or sending in a written request.
All requests for access to personal information will be handled as quickly as possible and we shall endeavour to process any request for access within 30 days of having received the request. Some requests for access may take longer than 30 days to process depending upon the nature of the personal information being sought.
The Society may be required by law to retain your personal information for a period of time after you have ceased your relationship with us. After the required time has passed we attend to the secure destruction or deletion of your personal information.
Can my request for
access to my personal information be denied?
The Society is not always required to provide you with access to your personal information upon your request.
We may refuse you access to personal information in a number of circumstances such as where the information may relate to existing or anticipated legal proceedings with you, where denying access is required or authorised by law, or where the request for access is regarded as frivolous or vexatious.
If we deny your request for access to, or refuse your request to correct your personal information, we will explain why.
What is a Commonwealth identifier?
A Commonwealth identifier is a Commonwealth Government or Commonwealth Government agency designated identification number such as your Tax File Number (TFN) or Medicare number.
The Society does not use Commonwealth identifiers as a means of identifying the personal information that we may have collected about you.
Sensitive information
If personal information concerns particular topics it is regarded as sensitive information.
Sensitive information can be information about your,
- racial or ethnic origin
- political opinions
- membership of a political association
- religious beliefs or affiliations
- philosophical beliefs
- membership of a professional or trade association
- membership of a trade union
- sexual preferences or practices
- criminal record
- health
The Society only collects, uses or discloses sensitive information about you as is allowed by law for example where we have received your consent to do so or the collection is necessary for the establishment, exercise or defence of a legal claim.
The Society's on line services
A copy of this Privacy Policy is available online. Information and some services are available through the Society's website and these may be expanded in the future.
The Society will aim to ensure that if personal information is collected through the website then the technology and procedures implemented to do so maintain the security of your personal information.

The web site is managed by the Society's employees but may be maintained by external consultants. We only permit authorised employees to access member information.
Our Privacy Policy may change from time to time
The Society constantly reviews all its policies and procedures to keep up to date with changes in the law, technology and market practice.
As a result we may change this privacy policy from time to time.
This Privacy Policy was last amended on 23 April 2003.
If the Privacy Statement Changes
If we change this Privacy Statement, all members will be notified. That notification may be by way of a reference in the Society's magazine, correspondence or email.

Can I complain about a breach of my privacy?
If you believe that the Society has not protected your personal information as set out in this privacy policy you may lodge a complaint by contacting us in the manner described above and addressing your communication to the National Operations Manager.
What if I am not satisfied with the Society's response?
If you are not satisfied with the result of your complaint to the Society you can refer your complaint to the Federal Privacy Commissioner.
